Send the document before you send the deadline
Most apostille problems are decided before anyone applies for one, so the fastest first step is usually a photograph of what you actually have. What we look at:
- Who issued it, and whether the signature on it belongs to an official the authority can recognise — that is what an apostille authenticates, and it is where documents most often fail
- Which country it is going to, and which authority there is asking
- Whether it is a California document, an out-of-state one or a federal one, because those follow different routes and one case often needs two
- Whether a translation is required, and whether it must be produced before or after authentication
Do not notarize it first
It is a natural instinct and it can weaken the document. If the Secretary of State can authenticate the issuing official’s signature directly, that is stronger than authenticating a third party’s statement about the document. When to notarise and when not to.
